Privacy Policy

1. Who we are

acadeME Hub is a service operated by acadeME Hub ("we", "us", "our"). acadeME Hub is the data controller responsible for personal data processed in connection with your use of acadeME Hub. You can contact us at academehub1@gmail.com.

2. Personal data we collect

• Account data — name, email address, password (hashed), and authentication identifiers.
• Profile and family data — parent name, family name, U.S. state, and information about the children you add (name, birthdate, grade level, curriculum, learning notes, goals, attendance records).
• Service usage data — lesson plans, schedules, progress entries, compliance records, and other content you create in acadeME Hub.
• Communications — support messages, feedback, and email correspondence.
• Technical data — IP address, device and browser identifiers, log timestamps, and basic telemetry needed to operate and secure the service.
• Consent records — your choices regarding terms acceptance, analytics, marketing, and AI feature settings.

Payment information (card details, billing address, tax data) is collected and processed directly by Stripe as Merchant of Record and is not stored on our systems. See section 5.

3. Why we use your data and our legal bases

• Provide the service (contract performance) — creating your account, storing your homeschool records, showing you your data, generating lesson plans and reports.
• AI-powered features (contract performance and consent) — when you enable features like weekly summaries, we send selected content (which you control via your AI privacy settings) to our AI provider to generate the output.
• Security and fraud prevention (legitimate interests) — protecting accounts, detecting abuse, and keeping the service available.
• Customer support (contract performance and legitimate interests) — answering your questions and resolving issues.
• Service improvement and analytics (consent where required, otherwise legitimate interests) — only when you have opted in to analytics.
• Marketing communications (consent) — only if you have opted in.
• Legal compliance (legal obligation) — responding to lawful requests and meeting regulatory duties.

4. Children's data

acadeME Hub is designed to be used by parents, guardians, and educators who record information about the children in their care. acadeME Hub accounts must be held by an adult. We process information about children only on the instructions of the account holder, who is responsible for the lawful basis for providing it (typically parental authority). You can edit or delete a child's record at any time from your dashboard.

5. Who we share data with

• Service providers / subprocessors — hosting and database infrastructure, email delivery, error monitoring, and (where you've enabled them) analytics tools. These providers act on our instructions under written contracts.
• AI providers — where you use AI features, the content you've authorised in your AI settings is sent to the model provider to generate the output. We do not allow these providers to use your content to train their models.
• Merchant of Record (Stripe) — Stripe Market Limited acts as the reseller and Merchant of Record for all purchases. Stripe handles checkout, payments, billing, tax compliance, invoicing, and refund handling, and processes the personal data needed to do so. See Stripe's Privacy Policy.
• Professional advisers — legal, accounting, and insurance advisers when needed.
• Authorities — where required by law, court order, or to protect our rights and the safety of users.
• Business transfers — in connection with a merger, acquisition, or sale of assets, with notice to you where required.

We do not sell your personal data, and we do not share it for cross-context behavioural advertising.

6. International data transfers

Your data may be transferred to and processed in countries outside your own, including the United States and the European Economic Area, where our service providers operate. Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or applicable adequacy decisions.

7. How long we keep data

We keep your account and the records you create for as long as your account is active. If you delete your account, we delete or irreversibly anonymise your personal data within 30 days, except where we are required to keep certain records for longer (for example, tax and accounting records held by Stripe as Merchant of Record, or backups that are deleted on a rolling cycle).

8. Your rights

Subject to your local law, you have the right to:

• access the personal data we hold about you;
• correct inaccurate or incomplete data;
• delete your data ("right to be forgotten");
• restrict or object to certain processing;
• receive a portable copy of data you provided to us;
• withdraw consent where processing is based on consent;
• lodge a complaint with your local data protection authority.

9. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, isolated per-user data via row-level security in our database, and regular review of our security posture. No system is perfectly secure; if we become aware of a breach affecting your personal data, we will notify you and the relevant authorities as required by law.

10. Cookies and similar technologies

We use cookies and similar technologies that are strictly necessary to run the service (for example, to keep you signed in). If you opt in to analytics, we also use analytics cookies to understand how the service is used. You can control non-essential cookies through your browser settings and through your privacy preferences in acadeME Hub.

11. Changes to this notice

We may update this Privacy Policy from time to time. If the changes are material, we will notify you in the app or by email before they take effect. The "Last updated" date at the top of this page always reflects the current version.
